Akwaaba Department
Welcoming You Home
About This Department
The Akwaaba Department is the visitor reception and integration ministry of Shekinah Avenue Church, Ogbojo. Drawing its name from the Akan word for “welcome,” the department embodies the church’s commitment to extending genuine, heartfelt hospitality to every first-time visitor who walks through its doors. It serves as the congregation’s official first impression, ensuring that newcomers are not merely acknowledged but warmly received, attentively cared for, and thoughtfully connected to the life of the ministry.
Operating every Sunday, the Akwaaba Department stands at the intersection of the church’s evangelistic outreach and its pastoral responsibility to those who are new to the faith community. Through intentional reception, systematic data collection, and structured follow-up, the department transforms a visitor’s first encounter with Shekinah Avenue into the beginning of a meaningful and lasting relationship with the church family.
Core Mandate
“Do not forget to show hospitality to strangers, for by so doing some people have shown hospitality to angels without knowing it.”Hebrews 13:2
The Akwaaba Department exists to:
- Receive and welcome first-time visitors with warmth, intentionality, and genuine love upon their arrival at the church premises.
- Identify and acknowledge visitors during every Sunday service, ensuring they feel seen and celebrated as honoured guests of the house.
- Collect visitor contact details and relevant information in a structured, respectful, and efficient manner.
- Provide visitors with church information, service guides, and introductory resources that orient them to the ministry.
- Coordinate timely and personal follow-up contact with every visitor after their first attendance — by phone call, message, or personal outreach.
- Maintain an accurate and up-to-date visitor database to support pastoral care and integration tracking.
- Work collaboratively with other departments to facilitate the smooth integration of visitors into the life of the church.
- Uphold a culture of excellence, warmth, and spiritual sensitivity in every interaction with visitors and guests.
Operational Values
The department operates with a clear set of values that guide every interaction, practice, and decision in the care of our guests.
Every visitor is received with genuine warmth, intentional attention, and a love that communicates the heart of God.
From appearance to attitude to execution, the department maintains the highest standard of quality in visitor care.
Members read the needs of visitors with discernment and grace, responding with care, patience, and awareness.
All visitor information is handled with strict confidentiality and used solely for the pastoral purposes of the ministry.
Every visitor, regardless of background or status, receives the same quality of welcome and follow-through.
The department functions as one coordinated unit, with each member supporting the others across the visitor journey.
All team members operate within defined roles and standards, with a shared commitment to continuous improvement.
Units Under the Department
The Akwaaba Department carries out its mandate through three focused operational units, each responsible for a distinct phase of the visitor experience.
Reception Unit
The department's frontline team, responsible for the direct welcome and reception of first-time visitors as they arrive. Stationed at entry points and within the auditorium, the unit greets and personally receives newcomers, escorts them to comfortable seating where necessary, and sets the tone for the visitor's entire experience with warmth, attentiveness, and gracious hospitality.
Data Collection Unit
Responsible for gathering accurate visitor information in a manner that is welcoming rather than transactional. Using visitor cards, digital forms, or guided conversation, the unit collects names and contact details with sensitivity and warmth — never making guests feel interrogated. All information is treated with confidentiality and accurately entered into the church's visitor database.
Follow-Up Unit
Responsible for maintaining contact with first-time visitors after their initial Sunday attendance. Within the week following a first visit, the unit reaches out by phone call or message to express gratitude, offer a personal welcome, and share upcoming services and integration opportunities — transforming a single visit into a continuing conversation and an invitation to belong.
How the Units Work Together
The three units form a seamless and progressive visitor journey that begins at the gate and extends well beyond Sunday. The Reception Unit initiates the experience with a warm, personal welcome. The Data Collection Unit captures and records that first impression, giving the church the means to maintain contact. The Follow-Up Unit then carries the relationship forward, transforming a single visit into an ongoing invitation to belong.
Each unit operates with awareness of the others, sharing information and communicating consistently so that no visitor falls through the cracks. Pre-service briefings, coordinated role assignments, and a shared commitment to excellence ensure that the department functions as one unified team, regardless of which unit a member serves in.
A Ministry of Belonging
Whether this is your first visit or you feel called to help others feel at home — we would love to welcome you. The way a church welcomes its guests speaks directly to the heart of its God.
