Protocol & Ushering Department
Maintaining Order & Excellence
About This Department
The Protocol & Ushering Department is responsible for ensuring that every church service and event is conducted in an atmosphere of order, excellence, and warmth. From managing arrivals to coordinating internal flow and supporting ministers, the department plays a central role in shaping the overall worship experience. It serves as the first point of contact for every member, visitor, and minister, and functions as the operational backbone that holds the physical and relational dimensions of every service together.
The purpose of the department is to maintain order, support ministry operations, and create a welcoming and spiritually conducive environment where worshippers can engage fully without distraction. Through its structured units, the department ensures that every individual who enters the church premises is received with warmth, guided with clarity, and supported with professionalism throughout the service.
Core Mandate
The Protocol & Ushering Department exists to:
- Receive members and visitors warmly and assist them in settling comfortably.
- Manage the flow of traffic and parking on the church premises safely and efficiently.
- Prepare, maintain, and reset the auditorium and surrounding facilities.
- Provide protocol and ministerial support for pastors, ministers, and special guests.
- Maintain order and minimise distractions throughout services and events.
- Coordinate the movement of worshippers before, during, and after services.
- Uphold the values of excellence, discipline, hospitality, and spiritual sensitivity in every interaction.
Operational Values
The department operates with a clear set of values, reflected in how members are received, how the auditorium is prepared, how ministers are supported, and how every service is run from first arrival to final exit.
Units Under the Department
The Protocol & Ushering Department operates through four specialised units, each with a distinct role in the life of a service.
Traffic Control Unit
The Traffic Control Unit is responsible for managing vehicle movement and parking on the church premises. Its role is to ensure that arrivals and departures are handled in an orderly, safe, and efficient manner. The unit directs vehicles to appropriate parking areas, manages pedestrian safety within the premises, and assists first-time visitors who may be unfamiliar with the church environment. It operates before service to manage peak arrival periods, during service to maintain parking order, and after service to coordinate a smooth and organized exit.

Ushering Unit
The Ushering Unit serves as the primary point of welcome and reception for all members and visitors. It is responsible for greeting individuals at entry points, assisting with seating, distributing service materials, and maintaining order within the auditorium. Ushers are trained to be attentive, hospitable, and discreet, ensuring that worshippers are comfortably settled and that the flow of movement within the sanctuary does not disrupt the service. The unit also monitors seating capacity and coordinates with other units when overcrowding or special seating needs arise.
Cleaning Unit
The Cleaning Unit is responsible for the preparation, cleanliness, and post-service reset of the church premises. Before services, the unit ensures that the auditorium, entrance areas, washrooms, and surrounding spaces are clean, organized, and ready to receive the congregation. During service, it remains available to address any facility needs that may arise. After service, the unit conducts a full reset of the environment, restoring all areas to their proper state. The unit upholds hygiene standards and reflects the department’s commitment to excellence in physical environment management.
Protocol Unit
The Protocol Unit is responsible for the care, coordination, and support of pastors, ministers, and special guests. It manages access to ministerial areas, coordinates movement before, during, and after ministrations, and ensures that ministers are attended to with the honor and attentiveness their roles require. The unit works closely with church leadership to understand the structure of each service and to prepare accordingly. It also manages guest relations, ensuring that visiting ministers and dignitaries are received, hosted, and supported in a manner consistent with the church’s standards and values.
How the Units Work Together
The four units of the Protocol & Ushering Department function as a coordinated ministry support system that operates in seamless alignment before, during, and after every service. The Traffic Control Unit manages the external flow of vehicles and pedestrians as the congregation arrives. The Ushering Unit receives members and guests at the entrance and guides them into a prepared auditorium.
The Cleaning Unit ensures that all physical spaces are in excellent condition and remains available throughout the service for facility-related needs. The Protocol Unit supports ministers and special guests with attentive care and logistical coordination. Together, the units use role assignments, pre-service briefings, departmental prayer, and clear communication lines to leadership to deliver a unified and seamless service experience.
